Connect, use and remove Funnel One for Zoom

In Funnel One, open Integrations, choose Zoom and click Connect Zoom. A Zoom admin approves the app once for the whole Zoom account. Back in Funnel One, keep Zoom switched on as the default for booking forms. From then on, every meeting booked through those forms gets a Zoom link. Each step below says whether it is available yet.

Before you start

  • A Funnel One account with permission to manage integrations.
  • A Zoom account admin, or someone who can approve apps for the Zoom account.
  • At least one booking form in Funnel One.
  • Google Calendar connected for each person who takes meetings, since bookings land on their calendar.

  1. In Funnel One, open Integrations and choose Zoom.
  2. Click Connect Zoom.
  3. Sign in to Zoom as an account admin and approve the app.
  4. Back in Funnel One, leave "Make Zoom the default for booking forms" switched on, or switch it off to choose per form.

You can also start from the Funnel One listing in the Zoom App Marketplace.

Not a Zoom admin? Funnel One tells you to ask yours, because only an admin can approve the app for the account.

Set meeting hosts

Funnel One matches each person to their Zoom user by email address. An admin can override any match, and picks the default host from a list of the account's Zoom users.

Two things to know. Zoom Basic users are cut off at 40 minutes. And because every unmatched booking goes to the one default host, that host can end up booked into two meetings at the same time.

Use Zoom with booking forms

  • Choose Zoom on a form

    Available now

    Set a booking form's video option to Zoom, or to the workspace default. Each meeting booked through it gets its own Zoom meeting, hosted by the person it was routed to.

  • Where the link goes

    Available now

    The join link goes in the calendar invite and the confirmation email.

  • When there is no Zoom host

    Available now

    Funnel One tries, in order: the default host; Google Meet, if the person uses Google; then no link. With no link, the invite still goes out and the person is notified to add one.

  • Meeting settings

    Available now

    Meetings are created so guests can join before the host, with no waiting room.

  • Reschedules and cancellations

    Coming soon

    Reschedule the booking and the Zoom meeting moves with it. Cancel it and the Zoom meeting is deleted.

What the app can see

Funnel One plans to request account-level access to meetings and users, and nothing more. The list is final when the app launches.

Troubleshooting

A booking has no Zoom link.

The person it was routed to is not a Zoom user, and there is no default host. Pick a default host, or add them to your Zoom account.

Zoom says "reconnect needed".

Funnel One's access was revoked in Zoom. Connect Zoom again from Integrations.

I cannot approve the app.

Only a Zoom account admin can. Ask yours.

A meeting ended at 40 minutes.

Its host is on Zoom Basic, which ends every meeting at 40 minutes whoever booked it. Give that host a paid Zoom license, or choose a licensed default host.

Remove, and what happens to your data

  • In Funnel One, open Integrations, choose Zoom and click Disconnect.
  • Or, in the Zoom App Marketplace, open Manage and remove the app.

What happens next

  • Funnel One's Zoom tokens and its copy of your Zoom users and host matches are deleted.
  • Meeting links already on bookings are kept, so scheduled meetings still work.
  • Funnel One creates no new Zoom links. New bookings use the fallback: Google Meet if the person uses Google, otherwise no link.
  • Zoom meetings already created stay in your Zoom account, and their links keep working unless you delete them.
  • Booking forms set to Zoom show Connect Zoom.
  • Your workspace's admins are notified.
